About the Role: 
We are seeking a dedicated and organized Front Desk/Recruiting Assistant to join our team. In this role, you will be responsible for a variety of tasks aimed at ensuring the smooth functioning of our office, with primary focus on recruiting related duties supporting the talent acquisition team. Your primary responsibility is to ensure a seamless and positive experience for both candidates and hiring managers. You will conduct initial candidate assessments, coordinate interviews, and extend offer letters to successful candidates. Additionally, you will play a crucial role in accurate recordkeeping and providing excellent customer service to all employees. This position also involves supporting our front desk operations and general admin functions.


Principal Responsibilities:
  • Answer incoming phone calls, appropriately direct calls, and assist callers with general inquiries.
  • When applicable, greet visitors to the office and ensure they are directed to their appropriate appointments.
  • Sort and deliver all incoming mail and post outgoing mail and packages.
  • Process employment verifications, rehire eligibility requests, and sea time letters as needed.
  • Conduct pre-screening assessments of candidates to evaluate their qualifications, skills, and cultural fit for the organization based on company guidelines.
  • Schedule and coordinate interviews between candidates and hiring managers, ensuring a smooth and timely process.
  • Communicate interview details to candidates, including interview schedules, processes, and necessary preparation information.
  • Provide exceptional candidate experience throughout the recruitment process, ensuring candidates are well-informed and prepared for interviews.
  • Address candidate inquiries promptly and professionally, delivering a positive impression of the company.
  • Extend formal offer letters to successful candidates, outlining terms and conditions of employment, and relevant policies.
  • Prepare selected candidates for the next steps in the hiring process.
  • Maintain confidentiality of sensitive information.
  • Provide a high level of customer service to all employees.
  • Other duties as assigned.
 
Qualifications:

  • Two (2) or more years of recruiting, screening, and vetting preferred.
  • Ability to thrive in a fast-paced environment, managing multiple tasks and priorities effectively.
  • Excellent interpersonal/communication skills, both oral and written.
  • Proficient in Microsoft Office.
  • Accurate and detail oriented.
  • Self-motivated, with excellent communication skills and a high level of integrity.
  • World class customer service skills.
  • Dependability, punctuality & professionalism are necessary.
  • High level of integrity, ensuring confidentiality and professionalism in handling sensitive candidate information.
  • Collaborative attitude, willing to work closely with team members to achieve common goals.
  • Strong organizational skills and attention to detail, ensuring accuracy and efficiency in the recruitment process.
