Title:                    Receptionist/Accounting Assistant
Reports To:        Lead Accounts Payable
Position:             Full-time Hourly/Non-Exempt

Location:            Paducah, KY
 
 
Principal Responsibilities:
  • Answer incoming phone calls in a polite, friendly, and helpful manner
  • Appropriately direct calls and assist callers with general inquiries.
  • Greet visitors to the office and ensure they are directed to their appropriate appointments/areas.
  • Assist with office administrative functions including correspondence, reports and other administrative duties.
  • Sort and deliver all incoming mail and assist with outgoing mailings
  • Operate standard office equipment on a regular basis, including a computer, digital multi-line switchboard, copy and fax machines.
  • Process and review incoming vendor invoices through electronic document storage system for accuracy and completeness
  • Manage the email accounts to which electronic invoices are sent
  • Maintain vendor files in electronic document storage system on a regular basis.
  • Process accounts payable invoices daily utilizing accounting best practices to ensure timely payment to vendors.
  • Assist Accounting Team with posting journal entries and other accounting duties as needed.
  • Perform ad-hoc administrative and accounting duties.
  • Contribute to team effort by accomplishing related results as needed
  • Other duties as assigned.
 
Qualifications:
  • Excellent interpersonal & communication skills both oral and written.
  • Ability to analyze financial data.
  • Associates degree preferred.
  • Minimum of one (1) year high volume accounts payable experience.  Paperless AP experience is a plus.
  • Previous reception experience answering multi-phone lines with high call volume.
  • Excellent customer service skills, multitasking capability, and organization.
  • Ability to work both independently and in a team environment
  • Knowledge of general accounting principles
  • Proficient in Microsoft Office with emphasis in Excel.
  • Must be a self-starter and possess ability to perform a variety of tasks with moderate supervision.
  • Dependability, punctuality, attention to detail & professionalism are a must.
